If your flight is late, a good operator tracks your flight number and adjusts the pickup. A weaker one waits for a set time and leaves. The difference is written in the policy, so ask before you pay and send your flight number early.
This guide belongs to our package evaluation topic. It pairs with arriving late at night: transfer planning for couples.
What are the three delay scenarios?
Delays come in different sizes. The right response depends on which one you face.
| Scenario | What it looks like | What to do |
|---|---|---|
| Short delay | Landing is a little late | A tracked pickup adjusts automatically; confirm by message |
| Long delay | Landing is hours late, maybe past midnight | Message the operator and the resort; ask if the pickup can move |
| Cancellation or rebooking | New flight on another day or time | Send the new details; ask for a fee-free change |
What does flight monitoring mean?
It means the operator checks your flight number against live arrival data and sets the driver’s arrival to match. It does not mean the driver waits forever. Ask whether this is included, and what happens when the delay is long.
Without monitoring, your pickup is tied to the time on your ticket, and a late flight may end up with no driver.
What is waiting time, and how long should we expect?
Waiting time is the period after landing that the driver holds for you. Immigration and baggage can take long, so ask for the free time and the rate after it. Our guide on airport to resort transfer time reality check helps you estimate the full journey.
Add a safe gap to your own estimate, since a fair-sounding wait can still be too short.
What message should we send?
Send this when you book, and again before you fly:
Our flight [number] arrives at [time] on [date] at [airport and terminal]. Please track it and adjust the pickup. What is your waiting time, and what happens if we are delayed or rebooked?
Save the reply with your booking.
What if the delay is long and it is already night?
Then contact both the operator and the resort. The resort needs to know you will check in late, and the operator needs to confirm the driver can still come. Read arriving late at a honeymoon resort for what to ask the resort.
What if the transfer is included in a package?
Check the limits before you rely on it. Some packages set a flight window or a fixed waiting time that a delay can break. Read when package transfers are included but limited for the checks.
If your flight is rebooked, send the new details at once and keep the earlier message too. Having both in one thread makes any disagreement easy to settle.
What should we do next?
- Collect your flight numbers, landing times and terminals.
- Ask the operator about monitoring, waiting time and changes.
- Send the message above and save the reply.
- Keep the driver’s number in your phone.
- Send us the details if you want us to check the policy for you.
