Confirm five things with a proposal photographer: the signal, the cover story, the arrival time, how and when you get the photos, and what happens if plans change. Put each in writing before you pay a deposit.
This guide is part of our occasions topic. Our proposal trips page shows the styles we plan.
What belongs in the brief?
Send one page so nothing relies on memory. Keep it short and clear.
| Item | What to write |
|---|---|
| Place and time | Exact spot, and the arrival time of the photographer |
| The moment | What you plan to do, in a few lines |
| The signal | A word or action that tells the photographer you are about to begin |
| Cover story | What the photographer pretends to be, if needed |
| Delivery | Number of edited images and the delivery date |
| Changes | Weather, delay or cancellation terms |
Resort photographer or local one?
Both can work. A resort photographer knows the light and the setup.
A local photographer may offer more locations and a personal style. See local photographer or resort photographer for a plain comparison.
What should the contract say?
Do not rely on a chat message. Agree on a short written note covering the date, duration, location, deliverables and fees. Our photographer booking checklist for couples lists the lines to check.
Ask how many images you will receive, whether edits are included and how the files are sent. A clear delivery date saves worry after the trip.
What happens if it rains or plans change?
Ask about the weather policy before you pay. Can the shoot move to another time or day? Is there a fee?
Is the deposit refundable? Our guide on photoshoot weather and reschedule policy explains what to ask.
Link this to your backup plan. See proposal rain backup plan for a tiered approach.
How do we make sure the photographer is not noticed?
Agree on a spot with a clear view that also feels natural. A long lens, a tourist cover and a quiet signal help. If the venue is crowded, shoot from a distance.
If the resort handles the setup, check with them as well. The photographer, the venue and your helper should all know the time and the signal.
What if we also want privacy?
Say so. Ask the photographer to avoid other guests in frame and to delete or hide anything that is not part of the proposal. Agree this in writing too.
What should we do next?
- Write the one-page brief using the table above.
- Shortlist two photographers and ask the same questions of each.
- Confirm the deposit, delivery date and weather terms in writing.
- Message us if you want help comparing. We will check the terms and explain the total for two.
