Before you pay a deposit, confirm eight things in writing: date and place, session length, number of edited photos, delivery time, rights, rain plan, deposit rules and extra costs. A clear, short message thread is enough. This checklist shows what each answer should look like.
It belongs to our romantic experiences topic. If you are still choosing between providers, start with local photographer or resort photographer.
What must be in writing?
Use this table as you read the photographer’s quote. A clear answer has a number, a date or a named condition.
| Item | Ask | A clear answer looks like |
|---|---|---|
| Session | How long, where, which date? | A fixed start time and place |
| Photos | What number of photos are edited? | A stated number or range |
| Edits | What kind of editing is included? | Colour and light, not heavy retouching unless agreed |
| Delivery | When and in what format? | A date, and a download link or a drive |
| Rights | Can we print and share them? | Personal use stated clearly |
| Rain | What if the weather is bad? | A named backup day or a refund rule |
| Deposit | What does it secure? | An amount, a due date and refund terms |
| Extras | Are there fees for travel or extra hours? | A list, with the amount |
What about edits and delivery?
Ask for the number of photos that are fully edited, and whether you also get the unedited set. Check the file type and the size, so they suit printing and sharing.
Delivery is the point couples forget until it is late. Ask for a date, and what happens if it slips. Your photos matter more than a promise to “send soon”.
What about rights and privacy?
Ask if the photographer may post your images. If you prefer your faces are not shared, put it in the agreement.
For couples with modesty needs, ask who will be present on the day, and who will see the images. Our page on photoshoot privacy and modesty lists the points to cover.
What about rain?
Rain can change a session at short notice, so agree the plan before you pay. Ask for a backup day, a short delay rule or a refund. Our guide on photoshoot weather reschedule policies gives the full list.
How do we handle deposit and cancellation?
Ask what the deposit secures and whether it moves to a new date. For general advice on reading terms, see our page on honeymoon cancellation policies.
Can we send one message to cover it all?
Yes. Copy this, fill in the blanks and send it:
“Hello, we would like to book a session on [date] at [place]. Could you confirm the session length, the number of edited photos, the delivery date, our rights to print and share, the rain plan, the deposit terms and any extra charges?”
What should we do next?
- Copy the table into a note and fill it from the quote.
- Send the message above to the photographer.
- Keep every reply with your booking.
- Send us the answers, and we will check the gaps with you before you pay.
