Work backward from the proposal day. Fix the date and leave first, then ring and passport, then the venue and photographer, then a rain plan and a final check. The order matters because later steps depend on the earlier ones.
This guide is part of our occasions topic. Our proposal trips page shows the styles we plan.
What does the countdown look like?
This table lays the plan out in stages. Adjust the timing to how far ahead you start.
| Stage | What to do | Why it comes here |
|---|---|---|
| Early | Pick the date, check leave, choose the style and budget | Everything else depends on it |
| Early | Check the ring size and passport validity quietly | These take time to fix |
| Middle | Choose the place, shortlist venues and photographers | Good dates fill first |
| Middle | Get written confirmations of setup, timing and terms | A verbal promise is not enough |
| Late | Plan the cover story and the packing | Keeps the secret safe |
| Final week | Do a weather check, test the route, brief the helpers | Leaves time to adjust |
| Day before | Confirm all vendors and the ring | Removes last-minute surprises |
How do we handle the ring?
Decide how you will carry it, whether to insure it, and where it sits during the trip. Our guide on carrying an engagement ring through airports covers the practical points. Check the current rules with the airline and customs before you travel.
How do we choose and brief a photographer?
Book early, because good photographers take limited slots. Agree on a signal, a cover story and a delivery timeline. Read hiring a photographer to capture a proposal before you pay a deposit.
What do we ask the venue?
Ask the resort in writing who sets up, what time, what is included and what happens if the plan changes. Our list of questions to ask a resort about proposal setups gives a ready set of questions.
What about rain or other changes?
Have a Plan B in place before you leave. Use a tiered plan: an indoor spot, a shifted time and a vendor change rule. See proposal rain backup plan for how to set one up.
Who should know what?
Keep the circle small. A trusted friend or sibling can help with the ring and the cover story. The photographer and the venue need the time and place, not your whole plan.
Decide in advance whether family will be present. Think about how relatives would feel about being included or left out.
What if we cannot keep the secret?
Have a half-reveal ready. Tell her there is a surprise on the trip and keep the moment itself a mystery. The proposal still feels special and you carry less stress.
What should we do next?
- Fix the date, the leave and a rough budget.
- Check the ring size and passport validity quietly.
- Shortlist the place, the venue and the photographer.
- Message us with your dates and ideas. We will build the countdown with you and show the total for two.
