The simplest way is to ask one trusted person at your partner’s workplace to hold the dates, and nobody else. Give them the dates only, never the destination. Your partner then submits the leave form after the reveal.
This sits in our booking requests topic, where we look at how to ask for things clearly and in writing.
Who actually needs to know?
Keep the circle as small as you can. Every extra person is another chance for the secret to slip in the office pantry.
| Person | Needs to know | Does not need to know |
|---|---|---|
| Direct boss | The dates and that it is a private trip | Destination, hotel, budget |
| HR | Dates to hold, once the boss agrees | Anything about the trip itself |
| Trusted colleague | That your partner will be away, so work can be covered | The plan details |
| Your family | Only if they will help with pets, kids or the house | Dates, if they cannot keep quiet |
What should we check before speaking to anyone?
Look at your partner’s calendar first. Are there deadlines, audits or events close to the dates you want? A surprise lands badly if it clashes with the busiest week of their year.
Use our usable holiday days calculator to see how public holidays and weekends stretch the leave. If your partner has a short allowance, our guide on a honeymoon with only five days of leave shows what still works.
What do I say to the boss?
Be direct and respectful. You are asking for help, not for a favour that bends the rules. Here is a script you can adapt:
“Hi, I am planning a surprise trip for [partner’s name] after our wedding. Could I ask you to keep these dates free, [dates], and not mention it to them? [Name] would submit the leave form after I tell them. I will not share the destination, but I wanted to make sure it works for the team.”
Say it in person or by phone if you can. Written messages can be forwarded or seen over a shoulder.
What if I go through HR instead?
HR can usually tell you the process without telling your partner. Ask a general question: how far ahead leave must be submitted, and whether a manager can pre-approve dates. Do not give your partner’s name until the manager has agreed.
Some workplaces will not hold dates without a form. In that case, ask the boss to tell your partner “I need you to submit leave for these dates, no questions yet.” Most people will trust that when the reason is a happy one.
How do we handle work cover?
A calm handover matters more than the secret. Offer the boss a chance to plan: when the trip starts, when your partner returns, and that email access will not be needed. A boss who feels prepared is more likely to keep quiet.
What about the travel documents and money?
Leave is only one piece. Passport validity and names must match the bookings, which we cover in checking passport validity without giving it away. The wider plan is in planning a surprise honeymoon without spoilers.
What should we do next?
- Pick two or three date windows you could live with.
- Check your partner’s work calendar for clashes.
- Choose one trusted person and speak to them in private.
- Wait for a yes in writing before you pay for anything non-refundable.
- Send us the dates, and we will suggest trip lengths and routes that fit, with the total for two.
