A free upgrade that says subject to availability is a hope, not a promise. It happens only if a better room is empty on your night. To count on it, you need the room type named in writing with a confirmation number.
This guide sits in our package evaluation topic. It helps you read upgrade wording calmly and plan for either outcome.
What does subject to availability really mean?
The hotel gives the upgrade only if the better room is unsold and unreserved on your dates. If the hotel is full, you stay in the room you booked.
Peak weekends and school holidays are the nights when upgrades are least likely. Midweek stays in a quiet month have more chance, but the hotel decides on the day.
How do other phrases read?
Different wordings carry different weight. Read the table before you assume.
| Wording | What it means in practice |
|---|---|
| Free upgrade subject to availability | Possible, not promised |
| Upgrade at the hotel’s discretion | The hotel decides on the day |
| Confirmed room type | A named room, usually with a price |
| Complimentary upgrade to a named category | Confirmed only if written and acknowledged |
| Upgrade on request | You may ask, with no commitment from the hotel |
A named category with a confirmation number is the strongest. The rest need a plan B.
What should we ask the hotel?
Keep it simple, and ask for each reply in writing.
- Which room type will we be in if the upgrade is not available?
- Which room type is the upgrade, by exact name?
- Is the upgrade confirmed now, or decided at check-in?
- Does the upgrade apply for the whole stay or just the first night?
- Will the confirmation number show the upgraded category?
Our glossary entry on room upgrade explains the term in plain language.
How do we get terms in writing?
Email the reservation team with your booking reference and the questions above. A written reply that names the room type is worth much more than a verbal “we will see”.
Our guide on honeymoon request versus confirmed arrangement shows the difference clearly. Keep every reply with your booking.
Is it fair to ask for a free upgrade?
Yes, politely. Mention that it is your honeymoon, and ask without expecting it. Our guide on asking for a free honeymoon upgrade politely gives wording.

How do we plan around an uncertain upgrade?
Book a room you would be happy in without the upgrade. Treat any upgrade as a bonus.
If you need a certain feature, such as a private pool or a quiet wing, pay for that room type directly. A free upgrade should never be the only way to get something you need.
What should we do next?
- Copy the upgrade wording from your package.
- Ask the five questions above and request a written reply.
- Decide whether you would still enjoy the trip with the base room.
- Send us the reply and we will help you judge if the package is the better deal.
