Copy the sheet below, fill one column per quote, and score each row. The quote with the fewest rows marked avoid is usually the better choice, even if it is not the lowest total. The sheet turns three different messages into one comparison.
This guide belongs to our package evaluation topic. It follows the same idea as comparing quotes on the same basis, applied to transfers.
What does the sheet look like?
Copy this table. Write one operator or quote per column.
| Row | What to write | Quote A | Quote B | Quote C |
|---|---|---|---|---|
| 1. Total for two | All-in, with tolls and tax | |||
| 2. Vehicle | Type and size | |||
| 3. Luggage | Bags the vehicle holds with two aboard | |||
| 4. Pickup point | Meeting point and airport or terminal | |||
| 5. Waiting time | Free minutes after landing, rate after | |||
| 6. Flight monitoring | Yes or no | |||
| 7. Flight change | Fee to move the pickup | |||
| 8. Cancellation | Deadline and charge | |||
| 9. Extra stops | Allowed or not, and cost | |||
| 10. Payment | Deposit, balance and how to pay |
How do we score each row?
Use three marks. They keep the sheet from turning into a wall of numbers.
- Pass: the answer is clear and fits our trip.
- Ask: the answer is missing or unclear, so we need to ask once more.
- Avoid: the answer is clear, but it does not suit us.
Count the avoid marks in each column. A quote with a few avoid marks is rarely a bargain.
Which rows matter most for couples?
For a tired couple after a wedding, rows 3, 5 and 7 tend to matter most. A vehicle that fits your bags, a waiting time that survives a late flight and a fair change policy decide whether the pickup works.
If you carry wedding gifts or large luggage, read which transfer vehicle fits wedding gifts and big luggage before you fill row 3.
What if a row is blank?
Treat a blank as a question. Ask once, plainly, and note the date. If an operator cannot answer basic rows before payment, that is information too.
For a list of what an operator needs from you to quote accurately, read what to send for an accurate quote.
Can a tool prepare the message?
Yes. The quote brief builder helps you write one message with your dates, flights and luggage, so every operator quotes the same trip.
How do we compare the sheet with an included transfer?
Add the package wording as a fourth column. Fill the same ten rows from the package and the resort’s replies. Our guide on when package transfers are included but limited lists the usual gaps.
What should we do next?
- Copy the sheet and fill your trip details at the top.
- Send the same message to three operators.
- Fill one column per quote and mark each row pass, ask or avoid.
- Ask once more about any row marked ask.
- Send us the sheet if you want help choosing.
