A hotel confirmation number proves the hotel, or its booking system, has a reservation under your name. An agent’s reference only proves the agent has recorded your order. Ask for the hotel’s own number, then verify it with the property.
This guide belongs in our trust and enquiries topic, about checking before you travel.
Which numbers might we be holding?
Three numbers can sit on one page and look alike. They prove different things.
| Number | Who issues it | What it proves |
|---|---|---|
| Booking reference | The agent or platform | Your order is in their system |
| Voucher number | The agent or platform | They have issued you a document for the stay |
| Hotel confirmation number | The hotel or its system | The hotel holds a reservation |
The glossary entries for booking reference and confirmation number explain each term.
Why does the difference matter?
Between the agent and the hotel sit steps where details can slip. Dates can be keyed wrongly, a room category can be swapped, or the booking may never reach the hotel.
Most of the time all goes well. The check costs you five minutes and removes the doubt.
How do we ask the agent for the right number?
Send one clear line: “Please send the hotel’s own confirmation number and the confirmation email or screenshot, showing room type, dates, guest names and meal plan.”
If the agent replies with the same reference, ask whether it is the hotel’s. Ask again kindly, naming the three types in the table above.
How do we verify with the property?
Message the hotel’s official reservations contact, found on its own website. Not a number from a social media post.
Keep it short and factual:
- Your names as on the booking.
- Arrival and departure dates.
- The agent or platform the booking came through.
- The reference you hold.
- A request to confirm room type, meal plan and any extras.
Some properties limit what they say to anyone other than the booker. If so, ask your agent to forward their reply. Our guide on checking extras are confirmed covers the special requests.
What should the confirmation show?
Read it against your quote:
- Names spelled as on your passports.
- Correct dates and number of nights.
- The room category and bed type you chose.
- The meal plan.
- Any note on arrival time or special occasion.
Any mismatch should go to your agent in writing the same day, because a fix is easier before you travel.
What should we do next?
- Ask for the hotel’s own confirmation and note which number is which.
- Compare it line by line with your quote.
- Use the property’s official contact to verify if anything seems off.
- Save the final confirmation offline before you fly. See also request versus confirmed.
