Ask in writing, name one contact person, and say clearly what must not be shared and until when. Then ask the supplier to confirm that the note is on the reservation. A vague “it is a surprise” is easy to forget at a busy front desk.
This guide is part of our booking requests topic. It builds on how to word a honeymoon special request.
Where can a surprise leak?
Suppliers reach guests through five channels, and each one is a risk. Think through them before you write.
| Channel | How it leaks | What to ask |
|---|---|---|
| Confirmation sent to the wrong address | One contact only, yours | |
| Phone | Call to the room or a mobile number | No calls to the guest |
| Welcome card | A card addressed to both names | Hold it until arrival |
| Front desk | A staff member congratulates early | A note on the reservation |
| App or portal | A pre-arrival link sent to the guest | Disable guest messaging |
What should the first message say?
Keep it short, polite and specific. Here is a version to adapt:
“Hello, I have a reservation for [dates] under [name]. This trip is a surprise for my partner. Please send all messages only to this email address and do not call the guest’s number. Please add a note to the reservation: ‘Surprise for guest, do not mention booking or details before arrival.’ Could you confirm that the note is in place?”
What about a reminder before arrival?
A few days before the trip, send a short follow-up. Staff on duty may not have seen the first note.
“Reminder: our arrival on [date] is a surprise. Please make sure the front desk has the note. I will be with my partner at check-in, so please speak only about the room, not the booking.”
Ask for a name of the person who will welcome you, if the hotel can give one.
How do we keep our partner out of the loop at check-in?
Check-in is the riskiest moment. The staff member may say “welcome back” or “your honeymoon package”. Agree a simple signal in advance, such as you presenting the passports yourself while your partner waits with the bags.
Ask about early arrival rules too. See can you request early check-in for a honeymoon.
What should we get back in writing?
You want a reply that confirms three things: the note on the reservation, the single contact, and any extras you asked for. Our guide on honeymoon request versus confirmed arrangement explains why a polite “noted” is not enough.
If the supplier will not agree, choose another one. A refusal before payment is better than a leak after it.
Do we tell the supplier everything?
No. Share only what the supplier needs to prepare: dates, guest names and any dietary or prayer needs. Keep the price, your partner’s workplace and the story of the surprise to yourself.
What should we do next?
- Pick one email address and one phone number that are yours alone.
- Send the first message right after booking.
- Save the reply, and screenshot the confirmation.
- Send the reminder a few days before arrival.
- Send us the hotel name and dates, and we will draft the wording and confirm it with the supplier.
